Step 1: File a Police Complaint (FIR or NCR)

  1. Visit the nearest Police Station to where the documents were lost.
  2. File a Non-Cognizable Report (NCR) or FIR stating that your academic documents (mention specific years/degrees) have been lost/misplaced/stolen.
  3. Keep the original stamped copy of this FIR/NCR. You cannot apply without it.

Step 2: Make an Affidavit

You must create a notarized affidavit on Stamp Paper (usually ₹100).

  • Content: The affidavit must state your details (Name, PRN, College), the details of the lost documents, and a declaration that you will return the duplicate if the original is found.
  • Notarization: It must be signed by a notary public.

Step 3: The Application Process

Once you have the FIR and Affidavit, you can approach the university.

For Duplicate Marksheets:

  1. Online Form: Visit the SPPU exam section portal and fill out the form for “Duplicate Statement of Marks.”
  2. Fees: Pay the requisite fee online.
  3. Submission: Submit the printed application form, FIR (copy), Affidavit (original), and photo ID to the university Examination Section or your college (depending on how old the degree is).

For Duplicate Degree Certificates:

  1. This is handled by the Convocation Section.
  2. The process is similar but usually takes longer (45-60 days) as the certificate must be reprinted on security paper.

Step 4: Collection

Duplicate documents are rarely sent by post. You (or a customized authority holder) must collect them physically from the specific department at the Pune University campus.

  • Note: The new documents will have a stamp saying “DUPLICATE” on them, but they are fully valid for jobs, higher education, and visa applications.

Challenges You Might Face

  • Old Records: If you graduated before 2005, your records might be in physical ledgers (archives), which takes much longer to retrieve.
  • College vs. University: For First Year (FY) mark sheets, you often need to approach your College, not the University. Knowing where to go is half the battle.
